An award-winning architectural practice is seeking a French-speaking Project Administrator to join one of their architectural teams. This role is instrumental in being the communication lead/translator for the team's French projects and clients whilst providing EA and admin support to associates and architects. The practice has a great admin team so you won't be the sole Project Administrator within the studio, and you have room for progression overtime within this specific team as well as other avenues.

Key Responsibilities:
  • Act as the translator between French speaking clients/suppliers/consultants and the project team on any and all communications
  • Complex diary management, travel booking, organisational, logistical and administrative support to the project team
  • Provide EA/PA support to team Associates
  • Manage project emails, ensuring that all drawings, documents and emails are properly saved/passed on/dealt with
  • Assist in compiling presentations and project documents for reports and meetings
  • Liaise with Finance team to collect and collate project expenses, project timesheets, job costing, resourcing, etc.
  • Manage project archiving, filing of drawings, and document control using internal software
  • Manage project team meetings and producing agenda/minutes/reports as well as attending admin team meetings
  • Respond to changing project requirements and initiating changes to in-house and external procedures
  • Admin support on contractual and legal project obligations
  • Liaise with other Project Administrators to develop best practices and project systems
  • Create and maintain project handbooks
  • Assist with reception or other admin support as needed

Key Skills:
  • Fluent in English and French with excellent written and verbal communication
  • Previous experience in a team assistant/project admin role, ideally within the design industry
  • High attention to detail with the ability to multitask
  • Self-starter and able to work autonomously with minimal supervision as well as within a team
  • Proficient in InDesign, Photoshop and Microsoft Office
  • Familiar with document control software
  • Comfortable in a fast paced environment and confident working with all different levels
