A London based Architecture and Urban Design practice are seeking an experienced Group and Project Coordinator to support their team. The practice works in a broad range of sectors, including arts and culture, residential, and higher education. The ideal candidate will be an extremely organised professional with experience supporting many different projects and architects through project administration, diary management, document controlling, and some office coordination.

Responsibilities:

  • Perform diary management duties such as coordination of internal and external project meetings, creating meeting agendas, and minute taking
  • Assist architects with preparation of project presentations, reports, certificates, statements, planning applications, documents and proposals
  • Collating, printing, binding, scanning, sending, archiving and filing documents for team members
  • Coordinating couriers and maintenance of documents and project plans
  • Assist in maintaining the practice's image library, helping to select appropriate images to upload
  • Attending industry meetings with architects relevant to role
  • Assist in preparing BID information by collating materials
  • Assist with preparing monthly status reports and submitting monthly expenses of some team members to finance
  • Booking and creating itineraries for travel and accommodation for team members
  • Maintenance of CVs and intranet credentials
  • Assist with the practice's studio events

Key skills:

  • Experience working in a creative or architectural atmosphere
  • Experience in document controlling, diary management, and project coordinating
  • Excellent communication skills, both written and verbal
  • Excellent time management and organisation skills
  • Ability to manage several people's requests and priorities at once
  • Ability to work under pressure
  • High proficiency level of Microsoft Word, Excel, PowerPoint, InDesign and Outlook
  • Understanding of Illustrator, Photoshop, Microsoft Project and MicroStation beneficial
